CourtTrack Analytics ("CourtTrack", "we", "us") provides basketball analytics packs to junior basketball clubs, coaches, and families. This statement explains what information we collect, how we use it, and how we protect it.

CourtTrack Analytics is a sole-trader business operating in Victoria, Australia (ABN registered). We deliver analytics packs to coaches and families of junior basketball teams based on game data compiled by CourtTrack.
As a small business, CourtTrack Analytics generally falls outside the direct coverage of the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). We have chosen to align our practices with the APPs voluntarily, because a number of the individuals whose information appears in our reports are minors, and we think that's the right standard to hold ourselves to regardless of what the law strictly requires of us.

About players, as part of the analytics service itself:
This player and performance data is compiled by CourtTrack directly from game footage and public competition results, at the direction of the coach or club engaging our service. We do not collect this information directly from children, and we do not require players themselves to provide any information to us.
Because this data is provided to us by the engaging club or coach rather than directly by players or families, our record of consent for a specific child's data relies on confirmation from that club or coach at sign-up. Clubs and coaches are required to retain evidence of the consent obtained from parents or guardians (for example, as part of their own club registration or media consent process) and to provide it to us on request if we need to verify it. Parents and guardians who have questions about that consent should raise them with their club in the first instance, or contact us directly using the details in Section 10.
Access credentials:
Coach and family dashboards are protected by a passcode issued to your club or family group, not by an individual account or login. We do not collect usernames, passwords, or other account credentials tied to an individual person.
How the dashboards are used:
To understand which parts of the coach and family dashboards are useful, we record how they are used. For each dashboard visit this includes:
These usage records do not include names, access codes or IP addresses, and they are not used to identify or profile any individual. We also use Cloudflare Web Analytics to count page visits in aggregate (for example, visits per page, general location by country, and device type). Cloudflare Web Analytics does not use cookies.
What we don't collect:
We don't use cookies for tracking, and we don't use advertising trackers or sell usage information. Usage records are used to improve CourtTrack. We may share overall totals with your club (for example, how many times the team's dashboards were opened), but never records about an individual visit, and never with advertisers or other third parties.

We do not use player or family information for advertising, and we do not sell, rent, or trade any information to third parties.
We use the following third-party services to operate CourtTrack Analytics. Each only receives the information necessary to perform its function:
We do not host game footage ourselves. When you submit a footage link, the video remains hosted on the platform you chose (e.g. Google Drive, YouTube), and you control the sharing permissions on that platform.
Overseas storage and processing: Some of the providers listed above (including Supabase, EmailJS, GitHub Pages and Cloudflare) may store or process data on servers located outside Australia, as a standard feature of how those services operate. Where a provider stores or processes data overseas, we take reasonable steps to satisfy ourselves that the provider maintains privacy and security standards comparable to those expected under Australian law, including safeguards such as encryption, access controls, and contractual confidentiality commitments. We do not otherwise share player, coach, or family information with any organisation beyond the providers listed above.
Dashboards are protected by a passcode specific to each team or family group. We take reasonable steps to restrict access to team data to the coaches and families associated with that team, and we are actively working to strengthen server-side access controls as part of our ongoing platform development.
No online system can guarantee absolute security. If you become aware of any way to access data you shouldn't be able to see, we'd genuinely appreciate you telling us at the email above before telling anyone else — we'll fix it fast.
When we may disclose information without consent: We will not disclose your information except as set out in this statement, unless: you consent; disclosure is required or authorised by law; or we reasonably believe disclosure is necessary to prevent a serious risk to the life, health, or safety of a child or another person — for example, where we become aware of information suggesting a child may be at risk of harm, we may be required to report it to the relevant authorities. A court order may also require us to release information we hold.
If we experience a data breach: If something goes wrong and your (or your child's) personal information is exposed in a way that could cause serious harm, our first priority is to contain it and work out what happened. We'll contact anyone affected directly to let them know, and where the Privacy Act 1988 (Cth) requires it, we'll also notify the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme.
Many of the players featured in our analytics packs are under 18. We collect and process this information at the direction of, and with the arrangement of, the coach or club who engages our service on behalf of their team — not directly from children. Parents and guardians who have questions about their child's information, or who wish to request that specific information be corrected or removed, can contact us directly.
We retain game footage submission records, analytics data, and season history for as long as your team is an active client, and for a further period of up to 3 years afterward as a historical record (for example, where a club wants access to prior seasons, or where data supports club history). Where information relates to a player under 18, we apply the same retention approach rather than an extended child-specific period, because our records are compiled from footage and competition results rather than from health or treatment information. If you'd like your team's data removed sooner, contact us and we'll action it, except where we are required to keep it for a longer period by law.
A player's CourtTrack identifier and statistics history are kept while the player is on any team using CourtTrack, and for up to 3 years after the last season in which they were tracked, on the same basis as above. Dashboard usage records are kept for up to 2 years and then deleted.
